This page explains what Pooky Dog Shop keeps about you when you shop with us, what we use it for, who else handles it for us, how long we keep it, and what you can ask us to do with it.

Who we are

Pooky Dog Shop is run by Mediatopia Solutions Limited, trading as Pooky Dog, a company registered in England and Wales as number 07351080, with its registered office at 128 City Road, London EC1V 2NX. You can contact us by email at hello@pookydog.co.uk.

We decide what happens to the information this shop collects, which makes us what the law calls the data controller.

When you place an order

When you order, we keep your name, your email address, your phone number, your delivery address and any note you add. We use them to take your order, to send it to you, to email you your order confirmation, and to answer you if you get in touch about it. We keep orders for six years, because the law requires businesses to keep their sales records for that long.

Sending your order to you

Most of our products are posted to you directly by our supplier, through AliExpress. To do that, we give them your name, your phone number and your delivery address, and nothing else. AliExpress is run by the Alibaba Group, outside the United Kingdom, and it and its delivery companies use your details only to deliver your parcel.

When you pay

You pay by card on Stripe's own payment page. Your card details go to Stripe and never reach us. Stripe tells us that you've paid and how much, which we keep with your order so that we can make a refund if you need one.

When you track an order

Our order tracking page asks for your email address and order number, to find your order. It doesn't keep anything new.

When you visit a page

Each time you open a page, our website records which page it was, the page you came from, the kind of browser you're using, the country you're in and your internet address. This happens on our server while the page is being put together, so nothing is written to your device. We use it to keep the website running and secure. Your internet address is removed after seven days at the most, and we keep only a scrambled form of it, which can't be turned back into the address.

When you use the chat

When you type a question into the chat in the corner of the page, we keep the conversation so that it can carry on as you move around the shop. The answers are written by an artificial intelligence service run by OpenAI, which is sent the conversation to answer it. We keep conversations for two years. Please don't type card details or anything private into the chat.

Cookies

This shop only uses the cookies it needs to work. We don't use advertising cookies, Google Analytics or anything else that follows you around the internet, which is why there's no cookie banner. When you use the basket, it keeps:

  • Your basket, so the things you've added are still there when you come back, for up to 14 days.
  • A discount code, if you type one in, for up to 14 days.
  • Your delivery choice, for up to 14 days.
  • Your details while you pay, for an hour, so you don't have to type them again if you go back a page.
  • That you've just ordered, for an hour, so the confirmation page can show your order.

If you use the chat, it also keeps two small notes in your browser for as long as the tab is open: that it has said hello, and a reference to your conversation. You can clear all of these in your browser's settings at any time.

Why we are allowed to use it

The law says we need a reason to use your information. We use your order details because we need them to carry out your order (our contract with you). We keep sales records because the law requires us to. We look after the website and answer the chat because it's in our legitimate interest to run the shop and help the people who use it.

Who else handles it for us

  • Supabase runs the database where orders, chat conversations and visit records are kept. The database for this shop is in London.
  • Vercel hosts the website and delivers the pages to your browser.
  • Stripe takes card payments.
  • SendGrid sends our emails to you, such as your order confirmation.
  • AliExpress and its delivery companies post your parcel to you.
  • OpenAI writes the chat's answers.
  • Google supplies the typefaces the website uses, which your browser loads from Google, so Google sees your internet address when it does.

Some of these companies handle information outside the UK. Where they do, they use the safeguards UK law requires, such as contracts approved for the purpose. We never sell your details, rent them out or pass them to anyone for their own marketing.

Your rights

You can ask us for a copy of what we keep about you, ask us to correct it, ask us to delete it, ask us to stop using it or use it less, and ask for it in a form you can take elsewhere. Where the law requires us to keep an order, we keep it for that long, without using it for anything else. To use any of these rights, email hello@pookydog.co.uk and we'll reply within a month.

If you're unhappy

If you have a concern about how we use your information, please contact us first. If you're not satisfied with our reply, you can complain to the Information Commissioner's Office at ico.org.uk.

Changes to this page

If we change how this shop uses your information, we'll update this page and the date at the top of it.
